The WhatsApp Business app is free, and most small businesses already have it installed. Yet many shop owners use it exactly like normal WhatsApp: type, reply, repeat. WhatsApp vs WhatsApp Business: what is the difference?

Regular WhatsApp is built for friends and family. WhatsApp Business is a separate, free app made for small businesses. It looks almost the same, but it adds a business profile, automatic messages, a product catalog, chat labels and other tools for talking to customers.

You can run both on one phone, but each needs its own phone number. If you want to keep your current number for the business, WhatsApp Business offers to move it over, chats included, the first time you open it.

1. Business profile

Your profile is the first thing a customer sees when they open your chat. Fill in everything: your address, business hours, category, a short description, your email and your website.

2. Greeting message

A greeting message is sent automatically the first time someone messages you, or when they write again after 14 days without any messages. It tells a new customer they are in the right place.

A good greeting is short and useful: "Hi! Thanks for messaging Lumen Store. Ask us anything about our products, prices or delivery and we'll reply as soon as we can."

3. Away message

The away message replies for you when you are unavailable. You can send it always, on a custom schedule, or outside your business hours, which is the option most shops use.

Tell customers when you will be back, and answer the most common question if you can: "We're closed right now and open again at 10am. Our prices and delivery areas are on our website: yourshop.com."

4. Quick replies

If you type the same answers every day (prices, bank details for payment, directions, delivery times), save them as quick replies. Each one gets a shortcut, so typing /price in a chat brings up your full saved price answer.

Quick replies also keep your answers consistent when more than one person handles the chats.

5. Labels

Labels are coloured tags for your chats, such as New customer, New order, Pending payment, Paid and Order complete. You can rename them or create your own.

Labelling chats takes seconds and means nobody is forgotten: at the end of the day, open the Pending payment label and follow up with everyone in it.

Where: press and hold a chat → Label (or Settings → Business tools → Labels).

6. Catalog

The catalog is a mini shop inside WhatsApp. Add each product or service with a photo, price, description and link, and customers can browse it from your profile without asking "what do you sell?" and "how much?" one message at a time.

You can share a single item in any chat, which is much faster than sending photos and typing prices again.

7. Short link and QR code

WhatsApp Business can create a short link and a QR code that open a chat with you directly. You can even add a ready-written first message, such as "Hi, I'd like to know more about your products."

Put the link in your Instagram bio, on your website and in emails, and print the QR code on flyers, receipts and your shop counter.

8. Broadcast lists

A broadcast list sends one message to many customers at once, and each person receives it as a private message from you. A list can hold up to 256 contacts.

There is one important rule: only people who have saved your number in their phone receive broadcasts. That keeps WhatsApp spam-free, so ask happy customers to save your number.

Where: Chats → menu (⋮ or the new chat button) → New broadcast.

9. Status updates

Status works like Instagram Stories: photos, videos or text that disappear after 24 hours. Customers who have your number saved see them at the top of their app.

What the free app cannot do

The free app is excellent for a business that can reply by hand. It has limits, though:
